Types, purposes, legal grounds and time limit for processing personal data

In the first place your name and e-mail address in combination with the content of your message are processed with your permission when you fill in the contact form on the website or contact DNA United Forwarders B.V. via chat, e-mail, social media or telephone. The processing/storage of this personal information is necessary to be able to contact you and answer your question.

If no agreement is reached with DNA United Forwarders B.V., DNA United Forwarders B.V. stores your personal data with your permission for direct marketing purposes. Of course you can always ask DNA United Forwarders B.V. to remove your data. See the paragraph 'Your privacy rights'.

When entering into an agreement with DNA United Forwarders B.V., personal details are processed that are necessary for executing the agreement with you or the company on whose behalf you maintain contact with DNA United Forwarders B.V. These data can be your name and address, telephone number, email address, authorisation for direct representation, copy of ID or passport or data of a contact person and additional data, necessary to conclude and execute the agreement. Failure to provide the necessary data may result in an agreement not being concluded with DNA United Forwarders B.V. After completion of the assignment these data will be kept in our business administration for a minimum of seven (7) years, unless agreed otherwise in writing or a different period applies based on legislation.

With your consent, photographs may be processed, as well as date of birth, personal interests or hobbies. These data are processed to maintain a personal relationship with you. Of course you can always ask DNA United Forwarders B.V. to remove your data. See the paragraph 'Your privacy rights'.

DNA United Forwarders B.V. has a legitimate interest in processing data related to your visit to our website. These are the IP address of your computer, the time of request and data sent by your browser. These data are used to analyse website visits and click behaviour in order to optimise our website.   

DNA United Forwarders B.V. has a legitimate interest in processing and analysing your details to be able to serve you better. For this purpose your name and address details, e-mails, telephone calls, website activities such as pages visited, downloads or contact requests are processed.

DNA United Forwarders B.V. also processes personal data for which it is legally obliged under tax legislation. This includes contracts or agreements, invoices, bank statements, correspondence, etc. These data are kept for seven (7) years in the company administration. 

Passing on to processors and third parties

Some personal data are processed by companies engaged by DNA United Forwarders B.V.. This may be the case in connection with the execution of the agreement with you or for performing services for DNA United Forwarders B.V. Such companies are also called 'processors' or sub-processors. These (sub-)processors are established within the European Economic Area (EEA). DNA United Forwarders B.V. enters into a processing agreement with these (sub-)processors that meets the conditions of the General Data Protection Regulation, so that the processing of your personal data within the EEA takes place in a lawful manner. DNA United Forwarders B.V. remains responsible for the processing carried out by these companies.

DNA United Forwarders B.V. has taken appropriate technical and organisational measures to protect your personal data against loss or unlawful processing. The website has an SSL-certificate, so data is sent encrypted via a secure connection. Back-ups of digital data are made frequently. DNA United Forwarders B.V. employees only have access to functionally related personal data. The employees are instructed in the safe processing of these data. Processing takes place within the EEA. Wherever work is done, mistakes can be made. DNA United Forwarders B.V. will react adequately to a discovered data leak. Depending on the type of data, the possible risks for the person(s) involved and the number of persons involved, DNA United Forwarders B.V. will inform the person(s) involved. In case of a data breach involving personal data processed in the context of a product or service agreement, DNA United Forwarders B.V. will contact the client without delay for further processing. All this in accordance with what has been arranged in the processing agreement.
